BOOKING CONDITIONS

These booking conditions, the course information and any other written information we have brought to your attention before we confirmed your booking, set out the details of your booking with Rookie Academy Lake Wanaka Limited,

Please read them carefully as they set out our respective rights and obligations. In these Booking Conditions, “you” and “your” include the first named person on the booking and all persons on whose behalf a booking is made or any other person to whom a booking is added or transferred.

By making a booking, the first named person on the booking (the lead name) agrees on their own behalf and on behalf of any additional persons detailed on the booking that:

  1. He/she has read these terms and conditions and has the authority to and does agree to be bound by them;

  2. He/she accepts financial responsibility for payment of the booking on behalf of all persons detailed on the booking.

APPLICABLE TO ALL BOOKINGS

1. Making A Booking

Once we have received your booking and all appropriate payments (usually the booking deposit), we will, subject to availability, confirm your booking by issuing a confirmation invoice. A binding contract between you and us comes into existence when we despatch the booking confirmation.

2. Payment

You will be required to pay a deposit or make full payment for your booking at the time of booking. Where you only pay a deposit you must pay the full balance by the balance due date notified to you.

Any discounts or offers advertised on our website cannot be used in conjunction with other discounts or offers.

3. Accuracy

We endeavour to ensure that all of the information and prices both on our website and in any advertising material that we issue are accurate; however, occasionally changes and errors occur and we reserve the right to correct prices and other details in such circumstances. You must check the current price and all other details relating to the course or arrangements that you wish to book before your booking is confirmed.

4. Insurance

Adequate travel insurance is a condition of your contract. You must take out a policy of insurance in order to cover you and your party against the cost of cancellation by you; the cost of assistance (including repatriation) in the event of accident or illness; loss of baggage and money; and other expenses. Failure to disclose relevant information may affect your insurance. If you fail to travel with adequate insurance cover we will not be liable for any losses in respect of which insurance cover would otherwise have been available.

5. Behaviour

Please be aware that the booking conditions of the supplier will normally state that your holiday arrangements can be terminated, with no refund, if the behaviour of your party falls below an acceptable standard.

6. Accommodation

You are responsible for looking after the property in which you will live. In the event of damage being inflicted on the property, then you and the other course participants occupying the property will be required to pay pro rata for the damage sustained. You are responsible to pay for any damaged caused by visitors to your accommodation. You agree to indemnify us for the full amount of any claim (including all legal costs) made against us by the supplier or any third party as a result of your conduct.

7. Force Majeure

Except where otherwise expressly stated in these booking conditions we will not be liable or pay you compensation if our contractual obligations to you are affected by any event which we could not, even with all due care, foresee or avoid. These events can include, but are not limited to war, threat of war, civil strife, terrorist activity and its consequences or the threat of such activity, riot, the act of any government or other national or local authority including port or river authorities, industrial dispute, lock closure, natural or nuclear disaster, extreme weather events, fire, chemical or biological disaster and all similar events outside our control or the control of the supplier concerned.

8. Minimum Ability Levels

On each course there is a minimum acceptable ski or snowboard ability level. It can sometimes be difficult to judge your level and you may find that your level is below the minimum level for the course you have booked. Usually we are able to cater for this eventuality; however, on some occasions alternative lessons may need to be arranged, these vary in duration and may not be equivalent to the original course booked. Any additional costs incurred for these additional lessons will be payable by you directly to the ski school.

 If You Cancel Your Package Booking

If you decide to cancel your confirmed booking you must notify us in writing. Since we incur costs in cancelling your arrangements, you will have to pay the applicable cancellation charges up to the maximum shown in the table below (the cancellation charge detailed is calculated on the basis of the total cost payable by the person cancelling, excluding insurance premiums and amendment charges which are not refundable in the event of the person to whom they apply cancelling).

Period before departure within which notice of Cancellation by you is received and amount of cancellation charge:

  •   30 days or more = Loss of deposit
  • 30 – 14 days = 80% of cost of booking
  • Less than 14 days =100% of cost of booking

If the reason for your cancellation is covered under the terms of your insurance policy, you may be able to reclaim these charges.

Transferring your Booking or Activity: In the event of cancellation you may be able to transfer your booking to another person or defer it to another season.

Security Statement

Rookies Academy’s websites have security measures in place to prevent the loss, misuse and alteration of information under our control. In order to maintain the cyber security of Rookies Academy’s systems and information, Rookies Academy’s systems are subject to ongoing monitoring (including activity logging), analysis and auditing. We may use information about your use of our websites and other IT systems to prevent unauthorised access or attacks on these systems or to resolve such events. We may use this information even if you are not involved in such activity. Rookies Academy’s may utilise services from one or more 3rd party suppliers to monitor or maintain the cyber security of its systems and information. These 3rd party suppliers will have access to monitoring and logging information as well as information processed on Rookies Academy’s websites and other IT systems.

Privacy Policy

Rookies Academy believes the responsible use of personal information is critical to enable the Internet to reach its potential as a tool for personal and professional activities. In line with the Privacy Act 1993, Rookies Academy is committed to respecting your privacy. You can visit www.RookieAcademy.com without telling us who you are or revealing personal information.

Purpose of information collection

You may choose to provide us with information such as your name, home address and e-mail address. For example you may choose to subscribe to our newsletter, or you can request specific information on products or services. When you give us personal information we will let you know how we will use it. We will also take appropriate steps to protect the information you share with us, including using appropriate technology for sensitive data.

How information is used

When Rookies Academy receives information about your session or about you, we may use it for research or to improve our site and services. We will ask if you want us to use that information to continue contact with you – for example, to send you new information or notification of special offers. If you do not want us to contact you, you can choose to ‘opt out’ from any of our communications.

In general on www.rookieacademy.com, IP addresses (the Internet address of a computer) are logged to track a user’s session while the user remains anonymous. We analyse this data for trends, such as which parts of our site users are visiting and how long they spend there. In general, we do not link your IP addresses to anything personally identifiable to you. If we wish to do this we will give you the opportunity to ‘opt out’.

Use of ‘cookies’

Some Rookies Academy web pages use ‘cookies’, which are small files that may be placed on your hard disk for record-keeping purposes. A cookie allows us to remember who you are. Cookies can make your subsequent visits to the web page simpler and more seamless. You can set your browser to notify you when you receive a cookie, giving you the chance to decide whether or not to accept it. (However, by not accepting cookies, some web pages may not display properly or you may not be permitted to access certain information.)
